Understanding Barcodes

A barcode is defined as “a machine-readable code in the form of numbers and a pattern of parallel lines of varying widths, printed on and identifying a product.” These lines and patterns represent numbers and data, enabling basic product information to be quickly read by an optical scanning device (a barcode scanner) and automatically entered into a computer system. This process significantly reduces the time needed to record product information and eliminates human data entry errors.

Barcode systems are essential for businesses and organizations to track products, prices, and stock levels, facilitating centralized management through computer software. This leads to substantial increases in productivity and efficiency.

Originally, barcodes featured simple 1-dimensional designs, consisting of basic black lines that could only be read by specially designed barcode scanners. Today, barcodes come in various shapes, sizes, and designs, and many can even be read by mobile phones and other devices.

Types of Barcodes

Different applications require different barcodes capable of holding various types of data. To meet these diverse needs, barcode system standards distinguish between barcode types and symbols. Barcodes can be categorized into the following types:

EAN/UPC Family Barcodes

EAN/UPC (European Article Number/Uniform Product Code) barcodes are instantly recognizable and found on virtually every consumer product worldwide. They are the longestestablished and most widely-used barcodes, commonly used in retail stores for sales checkout and inventory management.

DataBar Family Barcodes

DataBar barcodes are often used to label fresh foods, carrying information such as an item’s batch number or expiry date, along with other attributes used at the point-of-sale, like item weight.

1D Barcodes

1D barcodes like 128 and ITF-14 are highly versatile and enable items to be tracked through global supply chains. The 128 barcode can carry various ID keys, serial numbers, expiration dates, and more. The ITF-14 barcode can only hold the Global Trade Item Number (GTIN) and is suitable for printing on corrugated materials.

2D Barcodes

Two-dimensional (2D) barcodes, which look like squares or rectangles containing many small dots, can hold a significant amount of information. They remain legible even when printed small or etched onto products. 2D barcodes are used for more than just tracking assets and inventory. Modern 2D codes, especially QR codes, can hold up to 7,000 digits or 4,000 characters of text. Companies use them to share information, websites, and videos with consumers. Healthcare facilities use them to monitor medication and integrate data with programs like MS Office, MS SQL Servers, and other databases and files. 2D barcodes are utilize across various industries, from manufacturing and warehousing to logistics and healthcare.

How does Barcodes Works?

Barcodes operate through the combination of a symbology (the barcode) and a scanner capable of reading the symbols and converting them into useful information, typically about an item’s origin, price, type, and location. When scanned, the barcode automatically inputs the stored information into a system, often a database.

This technology has brought numerous benefits to businesses, enabling globally connected distribution channels and facilitating efficient operations for major departmental stores like BigBazaar, Walmart, and Pantaloon. It has also become indispensable for small and medium businesses, hospitals, and government organizations to track assets and enhance efficiencies.

Businesses utilize barcodes in various ways:

  • Inventory Tracking: Barcoded labels are affixed to inventory items, allowing for easy scanning to update inventory counts in tracking software, streamlining stock management.
  • Asset Tracking: Barcoded asset tags are applied to IT and fixed assets, enabling efficient check-in/check-out processes in asset tracking software, improving accountability and simplifying audits.
  • Return Mail Handling: Barcodes are added to return-mail registration postcards, matching product serial numbers for instant tracking, enhancing customer service and data accuracy.
  • Mail Merge: Barcodes are incorporated into RSVP cards for events, enabling easy tracking of responses without deciphering handwriting, streamlining event management.
  • Invoicing: Barcodes representing customer or invoice numbers are included in invoices, simplifying payment processing and reducing errors in account and invoice identification.
